Creating Records Using the MARC Workforms

There will be times when there’s no matching record in the database, and you can’t find one via Z30.50. The next step is to use a MARC workform to enter a brief temp record and attach your item. NOBLE cataloging staff will overlay the temporary record with a full record from SkyRiver or another source, or will do original cataloging to create a full record, consulting with you for more information about the record as needed.

Selecting a Workform

Under the Cataloging menu, choose the option to Create New MARC Record

You will see a long dropdown of workform names, all starting with temp_ followed by a format, for example: temp_book, temp_cd_audiobook, temp_dvd, etc.

It’s a long list, shared across the whole network, so it includes formats that your library may never use. There’s an option to set a specific workform as the default for your workstation, which may be useful if you primarily use the workforms for a particular workform, like DVDs or Spanish books.

Click on the Load button to open the workform.

Using the MARC Workform

The MARC workform can be viewed in either the Enhanced MARC Editor or Flat Text Editor. For temp records, we recommend using the Enhanced MARC Editor. You may find it helpful to check the MARC Help checkbox to show a list of MARC tags with labels.

If the workform looks like this when you open it, uncheck the Flat Text Editor:

Guidelines for Entering Data

Top Part of the Record

Add the year of publication in Date 1 the top section of the record. Do not add, delete or edit any other data in this section.

Control Numbers

Depending on the format, the template may have places for different control numbers. 010 (LCCN) and 020 (ISBN) are mostly used for books, and 024 (Other Standard Identifier) and 028 (Publisher Number) are mostly used for recordings and other media.

Enter the first of any of these numbers you find for the edition you have, following these examples:

MARC 100: Author

MARC 100, which we display with the label Author, is used for the author’s name, last name first. Just enter the first author, not additional authors, editors, illustrators, etc.

There are a small number of people who are known by a single name or nickname, and royalty, nobility, saints and religious figures and other may be known by their first name and a title. These headings will be corrected as the records are overlaid. For these temporary records, do the best you can, following the pattern of other works by the same person, or contact NOBLE for assistance.

MARC 245: Title

MARC 245, which we display with the label Title, includes the title and subtitle of the edition you’re entering. Library practice is to only use uppercase for the first letter of the first word in the title and for proper nouns and acronyms.

Subfield a is for the title proper, and subfield b is for the subtitle (if any.) If there is a subtitle, there should be a colon at the end of the title.

MARC 260: Publisher

MARC 260, publisher, has three subfields: Subfield a is for the place of publication, subfield b is for the publisher, and subfield c is for the date of publication. You can skip the place of publication for major publishers located in New York, Boston, etc., but please add them for local publishers, small presses, or publishers from outside the United States.

MARC 300: Description

MARC 300, which we display to the public with the label Description, provides information about the physical format of the edition, for example:

  • $a239 pages
  • $a14 sound discs
  • $a5 videodiscs

When adding a record using the MARC workform, you should add the right number of pages, sound discs, videodiscs, etc., to the record if you have that information, correcting the format to be plural as needed. You do not have to add the measurements, size, speed or other information to the record, and shouldn’t delete any information in the record.

MARC 500: General Note

You can use this for any information that seems important in identifying a particular edition. Surround with quotation marks if transcribed directly from the item.

Additional Fields

The audiobook template has the words Abridged/Unabridged in MARC 250, the edition statement. Please delete the one that doesn’t match the record.

MARC 511 for audiobooks has the words Read by in the template. Please add the name of the reader if you have that information, and remove the words Read by if you don’t.
