Item Tag Types and Item Tags

Item Tags allow staff to apply custom, pre-defined labels or tags to items. Item tags are visible in the public catalog and are searchable in both the staff client and public catalog based on configuration.

Below are three examples of different item tag types:

  1. Memorial Gift item tag type : each item tag represents an  individual honoree.  The item tags do not have URLs. 
  2. Local author item tag type: each item tag represents an individual author and has a URL linking to more information about the author
  3. Special collection item tag type: each tag represents a different type of special collection; one item tag has a URL.

Administrative Details

Each item tag is assigned to an item tag type.  The item tag type can be thought of as a category that defines the meaning of the item tag.  Some possible item tag types include: Memorial gifts, Local authors, Special collections, Donations, etc.

Each item tag type can have multiple item tags associated with it.  For example, there might be several item tags associated with the Memorial Gifts item tag type, with each item tag referencing an individual (e.g. In memory of Professor Plum)  in whose name a gift was made.

Each item tag can have a URL linking to a resource.  The URL for each item tag may be unique or shared.   For example, each Memorial Gift item tag might link to a unique page about the person being honored.  Alternatively,  multiple Memorial Gift item tags might share a single URL.  For example, these tags could link to a single web page listing all memorial gift books that the library has received.

Note: Users must have the required permissions in order to manage item tag types and item tags.

Item Tag Types

Users who have the relevant permission may create a new Item Tag Type as follows:

  • From the Administration menu, select “Server Administration”
  • Select Item Tag Types
  • In the Item Tag Types configuration screen select “New Copy Tag Types”
  • Enter a code and a label for the item tag type.  Note: the “Label” will display in the catalog.
  • Select your library as the owner of the item tag type.
  • Click “Save” 

Item Tags

Users with the relevant permission may create item tags to associate with an item tag type, as follows:

  • From the Administration menu, select “Local  Administration”
  • Select “Item Tags”
  • In the Item Tags configuration screen select “New Item Tags”

  • Copy Tag Type: Select the item tag type for which you want to create a tag
  • Is OPAC Visible?: Check this box to make the tag visible in the public catalog
  • Label: Enter a label (e.g. code) for the item tag.  Note label this does NOT display in the catalog
  • Owner: Choose your library branch as the tag owner
  • Staff note: Enter a staff note if relevant.  This is not required and is not public
  • URL: Enter a URL for the item tag if relevant.  This may be a link to a website, a list of titles, a LibGuide or other resource
  • Value: Enter a value for the item tag.  This is the value that will display after the item tag type in the catalog.

Note: it is possible to create a new item tag when adding or editing items in the holdings editor.  This method is NOT recommended, however, due to a bug that results in duplicate tags being created – one for each item added or edited.
