(New) Loading MARC Records Using MARC Import/Export

You can load files of MARC bibliographic records into Evergreen even if you don’t use the Acquisitions Module. You might want to do this to have an on order item display in the catalog. This allows patrons to place a hold on a title before it is published. It also tells staff that a particular title has already been ordered by the library.

It is also possible to load records with item data. Call number prefixes and suffixes, however, can not be loaded at this time.

MARC records can also be loaded without item data. In this case you would attach your holdings after the record has been loaded into the catalog. This would have to be done within two weeks of the load. The sooner the better.

Loading MARC records into the catalog saves inputting time.

To Load a File of MARC Records

  1. Go to the Cataloging menu and select MARC Batch Import/Export (New)
  2. If you previously created and set a default template, that template is automatically applied when you come to this page. Otherwise you will need to set the following in the MARC File Upload form.
    • Select or Create a Queue – Enter a unique queue name.
    • Record Match Set – Load Orders
    • Holdings Import Profile – Evergreen 852 Export Format (only needs to be set if you are loading item data)
    • Merge Profile – Load Orders
    • Select a Record Source – Temp
    • Import Non-Matching Records – Checked
    • Merge On Best Match – Checked
    • File to Upload – Select the file on your computer that you want to upload and click Choose File
  3. If your template is applied you will need to set the following:
    • Select or Create a Queue – Enter a unique queue name.
    • File to Upload – Select the file on your computer that you want to upload and click Choose File
  4. Click Upload
