(Old) Line Item Overview

  • On a selection list or purchase order a line item represents an order for a title.
  • One line item corresponds to one bibliographic record. Line items contain attributes which come from the bibliographic record the line item is attached to.
  • Line items contain copy information, price information, and notes and alerts.
  • A single line item can have multiple copies.
  • Line items are color coded to help indicate their status.
  • Each line item has a unique ID. When contacting support about a line item it is helpful to include the line item ID.

Anatomy of a Line Item

Title of the item. This also links to view of the brief order record and the full MARC record.

  • Author
  • ISBN, UPC, or ISSN
  • Publication Date
  • Publisher
  • The name of the Provider record or “native-evergreen-catalog” if the record was pulled into the purchase order from the catalog.

Changing the Order Identifier is usually only necessary with purchase orders are created manually within Evergreen. If you have permission, you can also add new identifiers as needed. If you created a purchase order using a vendor file upload, the order identifier should already be set.

  • You can select the type of identifier – ISBN, UPC, or ISSN
  • You can select the value for the ISBN for the edition you want to order
  • Line Item ID – When contacting support about a line item please include ID of the line item in question.
  • The number of items already attached to the bibliographic record appears in red
  • catalog – links to the bibliographic record display in the catalog
    • link to catalog may also display here. This allows you to search the catalog for a matching record and link the line item to it.
  • worksheet – links to a line item worksheet
  • requests – (not implemented)
  • view invoice(s) – links to a list of any invoices associated with the line item
  • queue – links to the upload queue for the records uploaded to create the PO. If the purchase order was created manually the queue link will not display.
  • Paid – If a line item has been invoiced a red Paid indicator will appear at the end of this line.
  • Expand – Clicking the Expand link displays the copy details below the line item. Clicking on the link again, closes the copy details.
  • Copies (#) – Links to the copy details display and Add/Edit Item screen where you can add copies for the line item manually. The number of copies for the line item appears in the parentheses.
  • Notes (#) – Use the Notes link to add notes or alerts to a line item. The number of notes and/or alerts appears in the parentheses.
  • Actions dropdown – The line item actions menu provides you with a number of functions that can be applied to a particular line item.
    • Update Barcode – Opens the Holdings Editor in a new tab with the barcode field highlighted.
    • Holdings Maintenance – Opens Holdings Maintenance in a new tab.
    • Claim (0 existing) – This is a manual claiming feature not used currently.
    • View History – The line item history appears in the same tab. To return to the PO click the browser back button.
