EDI invoices are generated by your vendor and posted on their site for pickup. These invoices are picked up by Evergreen and pulled into our system each morning at 6:30 am, along with EDI order responses (also known as POAs). EDI Invoices should correspond to the paper invoices you receive from your vendor. Once you receive the paper invoice you can retrieve and process the EDI invoice in Evergreen.
Retrieve the Invoice
To retrieve an EDI invoice for processing, go to Acquisitions => Invoices and search for the Vendor Invoice ID printed on your paper invoice.
Check It Against Your Paper Invoice
Once you retrieve the invoice verify that it matches your paper invoice. If it doesn’t you can add or remove line items as necessary.
Processing Fees and Other Charges (Direct Charges)
Your EDI invoice may contain processing fees or other charges. You will need to select the fund you want the charges to be paid out of for each charge on the invoice. See Direct Charges for more information.
Close the Invoice
Always remember to close the invoice once it is complete. Money will not expend from your funds until you click the Close button.
